Process

Three steps.

01

Understand

Agree the task, baseline, source systems and delivery boundary.

02

Build

Develop and review the code, configuration and integrations in scope.

03

Verify

Test representative cases, compare with the baseline and hand over.

Problems we solve

What you may be seeing

  • We miss booking calls when staff are busy.
  • Customers call outside our opening hours.
  • Reception repeatedly answers the same service questions.
  • A voice bot books appointments that are not actually available.
  • Customers need a human when the request is unusual.
What we build or change

We build an assistant for enquiries and bookings that checks current availability, follows your policies and escalates cases that need a person.

Implementation & verification

We build a voice booking assistant around approved services, booking policies and authoritative availability. We code real booking/lookup tools with final confirmation, bounded retries and a clear distinction between proposed and confirmed slots. We connect speech handling and a human transfer route, preserving relevant context when the assistant cannot complete the request. We test interrupted calls, pronunciation, dates, time zones and booking races before gradual deployment.

How we verify the work

  1. Keep policies and appointment writes in deterministic tools rather than model-generated promises.
  2. Recheck availability at commitment and read the confirmed booking back to the customer.
  3. Handle interrupted speech/calls and escalate unsupported or sensitive requests.
  4. Measure confirmed booking accuracy, failed transfers, useful call completion and staff workload.

Tools considered for this work

Delivery: voice/AI/backend development + telephony and booking configuration. Voice option: Twilio Programmable Voice with ConversationRelay. Reasoning: Claude tool-use API (a controlled connection between applications) or an equivalent model with constrained booking functions. Scheduling: Cal.com or the client's existing booking API (a controlled connection between applications). QA: call scenario recordings, concurrent booking tests and human-handover checks.

AI & automation in the work

A helpful first response. A clear handover.

We connect enquiries, booking rules and live availability. The assistant gathers the right details, checks before confirming a change and passes unresolved cases to the responsible person.

Resolution

Supported tasks completed correctly without repeat contact.

Verified access boundaries, confirmations and handover quality.

Effort

Manual steps and staff handling time for the agreed workflow.

Engineering terms, explained
Grounded AI / RAG
An assistant retrieves relevant approved evidence before generating an answer. Access controls and evaluations still need to be engineered and tested.
Idempotency
Retrying the same operation does not create an extra order, payment or record.
Controlled experiment
A concurrent comparison of assigned variants, with a defined outcome, observation window and decision rule.
Core Web Vitals
Measures of main-content loading, responsiveness to interaction and visual stability.

FAQ

Quick answers.

Does an internal order-status assistant fit this service?

Yes. Staff self-service is part of workflow improvement. We connect the records behind the process so the assistant can explain supported facts, identify the next owner and prepare an appropriate action.

Can the assistant change records automatically?

Only within the actions you approve. Sensitive changes can require human confirmation. Permissions and business rules are enforced by the application, with records of what was requested and completed.

What if the answer is missing or a system is unavailable?

The assistant should say what it cannot verify. We design fallback states and a human handover that carries the useful context without presenting an unconfirmed action as complete.
